Claims and inquiries must contain sufficient information to identify the vehicle and the incident concerned. Providing complete information will help avoid delays or confusion between different vehicles or claims.
Documents relating to a claim should be retained in their original form whenever possible. Copies, photographs, electronic documents, estimates, invoices, receipts, and other supporting materials may be requested during the claims review process.
The existence of an estimate, invoice, receipt, repair order, medical document, or other expense record does not by itself establish that the amount is accepted, payable, or covered by insurance.
All submitted amounts and documents remain subject to verification, assessment, applicable insurance conditions, and the circumstances of the individual claim.
Repair estimates, damage assessments, replacement costs, towing charges, and other vehicle-related expenses should be documented and submitted through the appropriate claims process.
Authorization of repairs, acceptance of an estimate, or determination of the amount payable should not be assumed solely because documentation has been submitted or received.
No employee, rental customer, driver, repair facility, or other third party should be considered authorized to make a final determination of insurance coverage, legal liability, fault allocation, or compensation unless such authority has been specifically established for the matter concerned.
Claims must be evaluated through the appropriate insurance and claims handling process.

Although the vehicles are insured under the fleet policy, certain insurance information is established individually for each vehicle. This includes the agreed vehicle value, vehicle insurance deductible, vehicle identification information, and other vehicle-specific conditions.
For verification of the conditions applicable to a particular vehicle, the vehicle should first be identified by its registration number or chassis number.
Every accident and claim is evaluated individually. The existence of insurance coverage does not by itself establish fault, legal liability, the percentage of responsibility, or an obligation to pay a particular amount.
Responsibility, coverage, repair costs, medical expenses, compensation and other amounts are determined according to the facts of the incident, available evidence, applicable law, and the terms and conditions of the relevant insurance coverage.
Requests for payment or reimbursement should therefore include the relevant supporting documentation and be submitted through the appropriate claims process for review.
