Third-Party Damage & Claims

When another vehicle or property is damaged during your rental, the final claim may include more than the repair visible at the scene.

The visible repair is not necessarily the total claim. Repair costs, loss of use, replacement transport and other reasonably related losses may be assessed separately.

What Is a Third-Party Claim?

A third-party claim concerns loss suffered by someone other than Sunrise Rentacar or the renter. It may involve another vehicle, a building, wall, gate, parking facility, road structure, equipment or other property.

The claimant may be a private owner, rental company, taxi operator, business, public authority, insurer or another legally interested party.

Small Contact Can Create a Larger Claim

A bumper scrape, mirror impact or small dent may appear inexpensive, but the final claim can include items that are not visible at the scene.

  • inspection, parts, paint and repair labor;
  • towing, transport or storage;
  • a replacement vehicle or substitute transport;
  • reasonable loss of use or business interruption; and
  • other documented costs directly related to the incident.

Rental, Taxi and Commercial Vehicles

Claims can be more complex when the other vehicle earns income. A rental car, taxi, delivery vehicle or other commercial vehicle may be unavailable while it is inspected or repaired.

The other party may claim documented loss of use, substitute-vehicle costs or business interruption in addition to the physical repair. Such items are reviewed separately and are not determined only by the size of the visible damage.

The Final Amount May Take Time

The other party may need days or weeks to provide:

  • a repair estimate or final invoice;
  • inspection and parts information;
  • the actual repair or unavailability period;
  • replacement-vehicle or loss-of-use records; and
  • insurer review and supporting documents.

The Claim Can Remain Open After the Rental

A third-party claim does not end merely because the rental vehicle was returned, the reservation ended or the renter left Okinawa or Japan. The final amount may not yet exist at the time of return.

Contractual responsibility, cooperation duties and outstanding payment obligations may continue until the incident has been investigated, the claim has been reasonably assessed and any applicable insurer or protection process has been completed.

The Customer Does Not Set the Claim Amount

The renter may request explanations, provide evidence and raise a reasonable objection. However, the renter cannot unilaterally declare that the loss was “only a small scratch” or impose a final amount based solely on the visible damage.

The total is determined from the supported losses, responsibility, applicable coverage and verified circumstances—not from an informal estimate made at the scene.

Provisional Third-Party Claim Deposit

When the final third-party amount is not yet available, Sunrise Rentacar may require a reasonable provisional deposit, payment or card authorization before the renter leaves, where permitted by the rental agreement and applicable rules.

The provisional amount may be estimated from the type and location of the damage, photographs, the other vehicle or property, preliminary information, likely repair requirements, reasonably foreseeable related costs and experience with comparable incidents.

This is not necessarily the final charge. It is provisional security while the supporting information and final claim are being obtained and reviewed.

The Other Party's Demand Is Reviewed

Sunrise does not automatically accept every amount requested by the other party. Depending on the case, the claim may be reviewed for:

  • supporting estimates, invoices and records;
  • connection between each item and the incident;
  • reasonableness of repair scope and cost;
  • actual period of repair or unavailability; and
  • responsibility, insurance and applicable limits.

Insurance Review Is Not Immediate Payment

Reporting the event to an insurer, booking platform or protection provider does not automatically suspend the renter's obligations or guarantee that every claimed item will be covered.

Coverage may depend on reporting deadlines, police documentation, authorized drivers, permitted use, exclusions, deductibles, limits and cooperation with the investigation. See Insurance & Coverage for general information.

Reconciliation After the Final Claim

When the final supported amount becomes available, Sunrise will compare it with the provisional amount collected and any payment received from an insurer or another responsible source.

If the provisional amount exceeds the amount properly due, the applicable balance will be returned. If it is insufficient, the remaining balance may be charged or invoiced according to the rental agreement.

Refund and Payment Adjustments

Any refund or additional collection will be based on the verified final calculation. Applicable bank, card, currency-conversion, transfer or remittance costs may be reflected where allowed and actually incurred.

Sunrise will not retain duplicate recovery for the same confirmed loss. Separate uncovered items, deductibles, NOC, administrative costs or other amounts properly due are not considered duplicate recovery.

Your Cooperation Is Required

The renter must provide accurate information, photographs, videos, police documents, third-party contact and insurance details, and any other reasonably requested material. Do not conceal facts, alter evidence, make false statements or negotiate a private settlement on Sunrise Rentacar's behalf.

Failure to report promptly or cooperate may delay the claim, increase the loss and affect insurance, CDW or other contractual protection.

What to Do at the Scene

  1. Stop safely and check whether anyone needs emergency assistance.
  2. Contact the police and complete the required accident report.
  3. Contact Sunrise Rentacar immediately and follow our instructions.
  4. Record both vehicles or the damaged property, the wider scene, license plates and relevant road or parking conditions.
  5. Exchange accurate contact and insurance information with the other party when safe and appropriate.
  6. Do not admit liability, promise a specific amount or settle privately on behalf of Sunrise Rentacar.

Keep your contact and payment information current, respond promptly and cooperate until the claim has been assessed and closed.
