Cleaning & Vehicle Condition

Every vehicle is delivered clean and sanitized. Please help us maintain the same standard by returning it in good condition, without excessive dirt, stains, strong odors or contamination.

Normal dust and light dirt resulting from ordinary use are expected. However, customers are responsible for any condition that requires excessive cleaning, specialized treatment, stain removal, deodorizing, document replacement or repair.

These rules apply to both the interior and exterior of the vehicle. The condition will be checked during the return inspection.

Clean vehicle at pick-up  →  Responsible use during the rental  →  Return without excessive dirt, stains, odors or damage

What Is Considered Normal Use?

Light road dust, a small amount of dry sand on the floor mats and ordinary exterior dirt from paved-road driving are generally considered normal use. Customers are not expected to obtain professional cleaning for these ordinary conditions.

Excessive sand, mud, liquids, food residue, stains, odors, bodily waste, pet hair, tree resin or any contamination requiring special treatment is not considered normal use.

Interior Cleaning and Care

Interior

1Excessive Sand or Mud

Okinawa has many beaches, but large amounts of sand must not be brought into the vehicle. Please remove excessive sand from your clothes, shoes, beach equipment and belongings before entering.

  • Do not enter the vehicle with heavily muddy footwear.
  • Do not place wet or sand-covered beach items directly on the seats.
  • Do not use the vehicle on muddy trails or unpaved terrain for which it is not suitable.

Excessive sand or mud inside the cabin, luggage area, under the seats or in difficult-to-clean areas may require additional cleaning.

High-Cost Damage Risk

2Seats, Food and Liquids

Please take special care with drinks, sauces, oils and other liquids. Spills can penetrate the upholstery, seat foam, electrical connectors and sensors installed inside or underneath the seats.

  • Do not place open drink containers directly on the seats.
  • Do not place wet luggage or leaking bags on the upholstery.
  • Remove food packaging and leftovers before returning the vehicle.
  • Do not attempt to hide, scrub or chemically treat a stain without contacting us.

Depending on the affected material, professional cleaning, disassembly, repair or replacement may be necessary, and the cost can be substantial.

Protected Documents

3Glove Compartment Documents

The glove compartment contains important documents and items required for the vehicle’s operation. These are not disposable materials and must remain inside the vehicle.

  • Do not remove, discard, alter or relocate vehicle documents.
  • Do not use the glove compartment to store open food or drinks.
  • Keep liquids, wet items and anything that may leak away from the documents.
  • Return all manuals, certificates and company materials in their original location.

If documents are removed, lost, stained or damaged, the applicable penalty will be charged according to the penalty schedule for the case.

Strictly Prohibited

4Smoking and Cigarette Odor

Smoking is strictly prohibited inside all Sunrise Rent a Car vehicles. This includes cigarettes, heated tobacco products, electronic cigarettes and vaping devices.

Smoking immediately before entering the vehicle can also transfer a strong odor from clothing, hair and belongings to the upholstery and air-conditioning system. Please allow sufficient time before re-entering the vehicle.

If the vehicle is returned with cigarette, tobacco or vaping odor, the applicable penalty will be charged according to the penalty schedule. Additional deodorizing and vehicle downtime costs may also apply.

Vomit, Feces and Other Biological Contamination

Vomit, human or animal feces, urine, blood and other biological contamination require specialized sanitation and may create a health risk for staff and future customers.

If an incident occurs, stop in a safe place and contact us immediately. Do not leave the contamination unreported and do not use chemicals that could spread the contamination or permanently damage the vehicle.

The applicable penalty will be charged according to the penalty schedule for the case. Professional sanitation, repair, replacement of affected parts and vehicle downtime may also be charged when applicable.

Exterior Condition and Vehicle Use

Difficult to Remove

5Tree Resin and Sticky Substances

Avoid parking under trees that release resin, sap, fruit, heavy pollen or other sticky substances. Tree resin can bond strongly to paint, glass and exterior trim, making it extremely difficult to remove safely.

Do not scrape the resin or apply solvents, fuel, abrasive products or unapproved chemicals to the vehicle.

If the vehicle is returned extensively covered with tree resin or another substance requiring specialized removal, the applicable penalty will be charged according to the penalty schedule.

Improper Use

6Mud, Trails and Challenging Terrain

Standard rental vehicles are intended for normal use on appropriate, legally accessible roads. They must not be used for off-road driving, muddy trails, deep sand, flooded areas or terrain beyond the vehicle’s intended capabilities.

Mud can accumulate underneath the vehicle, around the suspension, brakes, engine area and wheel arches. This may require lifting the vehicle and performing specialized cleaning or inspection.

When a vehicle not suitable for such terrain is used in these conditions, the applicable penalty will be charged according to the penalty schedule. Cleaning, recovery and repair costs may also apply.

Vehicle Equipment, Accessories & Supplied Items

Do Not Modify or Disconnect Vehicle Equipment

Customers must not disconnect, disable, remove, reposition, cover or modify any equipment installed in the vehicle. This includes recording cameras, safety devices, navigation and infotainment equipment, cables, sensors and other accessories.

Tampering with installed equipment may affect vehicle safety, accident records, insurance procedures and our ability to verify what occurred during an incident. The applicable penalty will be charged according to the dedicated penalty schedule. Repair, replacement and loss-of-use costs may also apply.

Do Not Disconnect

7Recording Cameras and Installed Devices

Recording cameras and other devices installed by Sunrise Rent a Car are part of the vehicle’s equipment. Customers must not interfere with their operation.

  • Do not turn off or disconnect recording cameras.
  • Do not unplug, cut, pull or relocate power cables.
  • Do not remove, replace or format memory cards.
  • Do not cover camera lenses or obstruct their field of view.
  • Do not change camera angles, settings or mounting positions.
  • Do not connect installed equipment to another power source.

If a device appears to be malfunctioning, contact us. Do not attempt to repair, reset or modify it yourself.

Disabling or tampering with installed equipment is a violation of the rental conditions. The applicable penalty will be charged according to the dedicated penalty schedule. Any inspection, data recovery, repair, replacement or vehicle downtime costs may also be charged.

Damage Risk

8Phone Holders and Suction Mounts

Portable phone holders must be installed with great care. Some mounting methods can permanently damage the vehicle’s navigation screen, dashboard, air vents, trim and other interior components.

  • Do not attach suction cups, adhesives or magnetic mounting plates directly to the navigation or infotainment screen.
  • Do not place pressure on the screen or use it as a support for a phone holder.
  • Do not attach holders to air vents when the clip may bend or break the vent blades.
  • Do not use adhesive mounts that may leave residue, stains or permanent marks.
  • Do not install any holder where it obstructs the driver’s view, vehicle controls, cameras or safety equipment.

Damage to a navigation screen can require replacement of the complete unit. Broken air-vent blades may also require replacement of the entire vent assembly or dashboard component.

Damage caused by a customer-installed phone holder or mounting accessory is subject to the applicable penalty in the dedicated penalty schedule. Inspection, cleaning, repair, replacement and loss-of-use costs may also apply.

Vehicle Key

9Key Covers and Protective Parts

Vehicle keys may be supplied with protective covers or cases. These items help protect the key from impacts, scratches, liquids, sand and accidental damage.

  • Do not remove or discard the protective key cover.
  • Do not exchange the supplied cover for another cover.
  • Keep the key away from water, drinks, sand and excessive heat.
  • Return the key with all protective parts in their original condition.

Missing, discarded or damaged key covers are subject to the applicable penalty in the dedicated penalty schedule. Damage to the electronic key itself may result in additional replacement, programming and vehicle downtime costs.

Company Property

10Key Tags and Vehicle Identification

Keys may include numbered tags, vehicle identification tags, company-branded keychains and other identification items. These items are company property and must remain attached to the key.

  • Do not remove, exchange or discard key tags or keychains.
  • Do not alter or erase vehicle identification numbers.
  • Do not separate supplied items from the vehicle key.
  • Return the complete key set exactly as supplied at pick-up.

Missing or damaged tags, keychains and identification items are subject to the applicable penalty in the dedicated penalty schedule. Additional replacement costs may apply when necessary.

Ask Before Installing or Removing Anything

If you are unsure whether a phone holder, charger, accessory or other item can be safely used in the vehicle, contact Sunrise Rent a Car before installing it.

Do not remove or modify an installed item simply because you do not intend to use it. We will explain what may be adjusted and where a personal accessory may be safely placed.

Travelling with Animals

Prior Approval Required

11Pets and Other Animals

Animals may be transported only when Sunrise Rent a Car has been informed and approval has been arranged before the reservation date. Approval may depend on the vehicle, animal size, carrier and other rental conditions.

  • Inform us in advance about the type and size of the animal.
  • Use an appropriate carrier or protective equipment when required.
  • Protect seats, carpets, doors and interior panels.
  • Remove all hair, sand, dirt, waste and odors before returning the vehicle.
  • Never leave an animal unattended inside the vehicle.

Transporting an animal without prior approval is a violation of the rental conditions. In such cases, the applicable penalty will be charged according to the penalty schedule. Additional cleaning, deodorizing or repair costs may apply.

Report Spills and Contamination Immediately

Quick action can significantly reduce permanent damage. If food, liquids, vomit, waste or another substance contaminates the vehicle, contact Sunrise Rent a Car as soon as it is safe to do so.

Informing us does not automatically eliminate cleaning or repair charges, but it allows us to provide suitable instructions and may prevent the damage from becoming more serious.

Cleaning Fees, Penalties and Additional Costs

When the vehicle is returned in a condition beyond normal use, charges will be determined according to the applicable penalty schedule and the circumstances of the case.

Depending on the condition, charges may include:

  • Excessive interior or exterior cleaning;
  • Professional stain removal or sanitation;
  • Odor removal and air-conditioning treatment;
  • Removal of tree resin or other difficult substances;
  • Repair or replacement of seats, carpets, trim or other affected parts;
  • Replacement or reissuance of vehicle documents;
  • Inspection or cleaning of the vehicle’s underside;
  • Loss of use while the vehicle is unavailable for rental;
  • Other actual costs resulting from the violation or damage.
  • Inspection or repair of disconnected, disabled or modified equipment;
  • Repair or replacement of navigation screens, air vents, dashboard trim or other components damaged by personal accessories;
  • Replacement of missing key covers, numbered tags, company keychains or other supplied items;

Payment of a standard cleaning penalty does not limit the customer’s responsibility when the actual cleaning, repair, replacement or loss-of-use cost is higher.
